"On behalf of" visible when you want to reply to or forward an email from Outlook

Good morning, in our Company we use Windows Server 2022 with Outlook 2019.

Each employee has their own personal e-mail address, namely: (name surname @ companyname.com)

Through this e-mail address we are enabled to send e-mails also to other senders (e.g. info @ nomecompany.it, Directioncommerciale @ nomecompany.it, etc.).

We noticed the following anomaly:

  • when we send an e-mail by selecting a generic sender (e.g. info @ nomecompany.it), the recipient correctly reads that it was received from info @ nomecompany.it
  • if the recipient replies to the previous e-mail and we intend to reply or forward the recipient's aforementioned reply, the following is displayed:

"Name Surname on behalf of Company Name Info".

In essence, when we go to reply to or forward an e-mail received not in our personal inbox but in a generic one (e.g. info @ company name) we will see the words: Name Surname "On behalf of" Company name info.

This scenario did not occur with the previous server version and Outlook.

We require that in the response or forwarding to e-mails sent previously with a generic sender (info @ nomecompany.it) it is only displayed that the sender from whom the e-mail was sent is Company Name Info and not "Name Surname For Company Name Info account".

We confirm that no changes have been made to the configuration of user accounts and aliases or shared mailboxes in the passage from the previous verson of Windows server and Outlook.

What causes this anomaly and how can we intervene?

Thank you and I look forward to your contribution.

Fabio

    Hi @fabio mas

Welcome to our forum! Please kindly understand that the Outlook tag here we mainly focus on general issues about Outlook desktop client.

Are you setting up 'Send on behalf of' and 'Send as' in Outlook?

From an Outlook perspective, the agent information is displayed in the sender field. Here are their differences. More information, see: Send email on behalf of someone else.
