Use the Frontline worker app

The Frontline worker app is used by workers at vaccination sites to distribute and administer vaccinations safely and effectively. With the Frontline worker app, these critical workers have the information they need to check in residents who have registered and booked an appointment, with the option to use touch-free QR code scanning. The app lets the vaccinator manage the details of the vaccine, including the dose number and vaccine batch, and lets the vaccinator note post-vaccine reactions.

Prerequisites

To get started with the Frontline worker app, you need to download the Microsoft Power Apps mobile app on your device from the device's app store.

  • For Apple devices with iOS, such as an iPhone or iPad, use App Store
  • For Android devices, use Google Play

Check in a resident for a vaccination appointment

Once you open the Frontline worker app, you see the Vaccination hub home page.

  1. Select a vaccination site and the name of a vaccinator.

  2. Select Next. The vaccination appointment check-in page opens.

  3. Check in a resident by selecting their name from the appointment list, scanning their QR code, or searching for their name. Do one of the following steps:

    • To look up an appointment, you can scan the QR code from the resident's appointment confirmation email. Scanning the QR code is supported only for iOS and Android devices.

    • To search for an appointment, enter the resident's last name and select Search. Select a resident from the search results to open the appointment.

    • To select an appointment time slot, under Appointment slot, select an appointment date and time.

  4. Confirm the resident's information. You can't edit the basic information in the appointment details; however, you can edit the resident's profile and special assistance needs. To edit Special Assistance, select the pencil icon, select the appropriate drop-down option, and then select the check mark button to save the selection.

    If the resident is a minor:

    1. Check for proof of consent. If the resident is accompanied by a legally-authorized representative other than the one indicated in the app, enter the name in Name of consenting person and provide a new value in Relationship to resident.

    2. Select Yes next to Appropriate consent has been provided by the legally self-consenting minor or by a legally-authorized adult.

  5. Do one of the following steps:

    • If you are checking in for the appointment and not administering the vaccine, select Add to Vaccine Queue and confirm that you want to add the resident to the vaccination queue.

    • If you are checking in for the appointment and administering the vaccine now, select Vaccinate now and proceed to Select resident in queue and administer the vaccine.

  6. The next screen confirms that the resident was added to the vaccination queue.

    You can then return to checking in residents for their appointments.

To undo a check-in action and return a resident to the check-in queue from the vaccination queue:

  1. Select Vaccine Queue from the menu.

    Select a resident in the vaccination queue by selecting their name from the vaccination queue list, scanning their QR code, or searching for their name.

  2. Find the resident in the vaccination queue listing and select Undo checkin.

  3. Confirm that you want to move the resident back to the check-in queue.

Check in a resident to another location

If a resident registers for an appointment at one location and shows up at a different one, they may be able to check in at that location. If the resident's registered for a dose 1 appointment, they can check in to the location they arrived at regardless of what vaccine type they selected. The following message will display:

Toggle to Yes to enable the vaccination buttons.

If the appointment is for dose 2, the resident can only check in if the location offers the vaccine they had for their first dose. If the resident can't check in, the following message displays:

Select resident in queue and administer the vaccine

Once a resident has been checked in and is listed in the vaccination queue, you can administer the vaccine.

  1. Select Vaccine Queue from the menu.

  2. Select a name from the vaccination queue.

    You can also find a resident in the vaccination queue by searching for the resident's last name.

  3. Confirm that you are ready to vaccinate the resident that you selected from the queue.

  4. Review the resident's medical history. Make any changes to the medical history if necessary. Any changes you make will be instantly recorded in the database.

  5. Confirm with the resident which dose is to be received. The dose option is preselected to show the dose that the resident is supposed to be receiving. The vaccinator has the option to change this if the information is incorrect for some reason.

    • If you selected Dose 1, proceed to the next step.

    • If you selected Dose 1 and the resident has already had their first dose, you are prompted to confirm that you want to proceed with the first dose.

    • If you selected Dose 2 and the resident has not received their first dose, you are prompted to confirm that you want to proceed with the second dose.

    • If you selected Dose 2, the screen appears as follows. Proceed to the next step.

      Select Dose 1 to view a record of the first dose vaccination.

      Select Observation history to view first dose and post-vaccine observations.

  6. Confirm that the resident was provided with vaccine informational materials.

  7. Confirm that the resident agrees to be given the vaccination.

  8. Select Scan GTIN. If you cannot scan the global trade identification number (GTIN), look up the vaccine. The Vaccine lot field is then filtered by the vaccine you selected in the Look up vaccine field.

  9. Select the vaccine lot.

  10. Select the site on the body where the vaccine will be administered.

  11. Select the route for administering the vaccine. For a vaccination, the route is typically "injection, intramuscular".

  12. Select the vaccinator.

  13. Verify the information for the consenting person and relationship to the resident. If needed, you can change the information on this screen.

  14. Enter any observations about the vaccination that you want to note.

    If a resident is receiving their second vaccine dose, previous observations from their first dose are noted.

  15. Administer the vaccination to the resident.

  16. Select Complete vaccination.

  17. Confirm that you want to mark the vaccination complete for this resident.

  18. Review the confirmation screen and take any next actions: check in other residents, administer another vaccine, or observe a vaccinated resident for reactions.

Select a vaccinated resident for observation

Vaccination frontline nurses can note any adverse reactions to the vaccination that a resident experiences.

  1. Select Observation Queue in the menu.

  2. Verify that the resident that was just vaccinated is in the observation queue. Find a vaccinated resident by selecting a name from the observation queue or searching by using their last name.

  3. Select the resident, select the complication type, and then enter the complication details.

  4. Select Save observations, and then confirm you are ready to save the post-vaccination observation for this resident.
