Outlook Book Workspace Building List Missing

Hi, I have been looking at using Microsoft Outlook Book A Workspace feature. Our old room list and rooms are on prem still however I have been set up a new room list and added the new workspace mailboxes to the distribution group (all through MS Exchange Powershell). I have ran the commands to check that the room distribution list has been created and the workspace members are correct. I have also used the Set-Place cmdlet to tag workspace features such as Location, City, Capacity etc. The problem is when I go into my Outlook client on macOS the new room finder does not show up anything under buildings when I go to book a workspace. However on the app on my Android phone I can see the room list as a building and I can book the workspaces I have created. I have no ability to do this on the Outlook Windows app. I am not sure if I have done something wrong in the setup but going by the documentation I believe I have configured this correct. What also makes me believe I have set this up correctly is it appears to be working on the Android Outlook app so surely if it wasn't configured correctly I wouldn't be able to use this at all. Anyone any tips or similar experiences?

Hi @ScottMcMullan-4717,

I just managed to get a Mac for test and when I tried to book a workspace in OWA, the room list (Builiding32) didn't show up automatically. But if I start typing the name of the room list in the "Select a Building" box, then Building32 can show up and I can select it and choose a workspace afterwards:

Would you please have a go and see if this is the same at your end?

I can confirm this is the actual issue - thank you so much I didn't even know the field was able to be typed into. It then brings up the buildings and when I select I can see the Workspaces. Hopefully in future Microsoft release the update so that it populates the buildings here automatically.

Thanks

Hi @ScottMcMullan-4717,

According to the official blog below, "Outlook for Mac is available to all Insider Fast users using the new Outlook for Mac. Outlook for Windows will follow the room finder roll out staging noted in this link"(Beta Channel users running Office Version 2007 Build 13020.20004 or later).

Book a workspace in Outlook

So I'd suggest having a check to see if you are using the supported Outlook versions.

Hi,

I am indeed on the insider fast users version using new outlook for mac. I can see the new style room finder the issue is none of the room lists I created show up however these room lists show up on Android Outlook on my mobile. They don't show up in OWA either which I find strange behaviour.

Thanks

Hi @ScottMcMullan-4717,

Also noticed that as per the blog mentioned earlier, "it may take up to 24 hours for workspaces and new room list to appear in the room finder".
May I know if you have given it enough time (>24hours) after configuring the room list? Although the room lists have already shown up on Android Outlook, I am wondering maybe the time it takes to take effect are different per platforms.

I created the room lists last Friday and Monday so almost 7 days ago and 4 days ago. They take around 24 hours to show on Outlook Android workspace. However still nothing on macOS, windows or owa. Very strange as I think if I'm right if it appears in one address list for me on my account on Android it should appear on all of my other devices which surely would use same address list as it is the same account. As far as I know there are no different settings based on device type or application operating system?

Thanks

Yes it affects all users really, Mac or Windows - only device it seems to work on is Android currently which is strange.

Also yes I have upgraded to the latest build even the insider build (beta channel) and still the same issue. This is becoming a concern now as we wanted to use this for employees returning to the offices to book workspaces and we are running out of time to test and implement.

Thanks

I would like to say thanks for the above info I have accepted the answer.

One thing I have noticed is even though this product is fully released on iOS no one is able to see the workspaces on iPhone.

It works on android, windows and macOS outlook clients as well as owa.

Can you confirm if you can see the workspace ok iOS on your demo? 79835-3376d250-94b5-475f-a345-a347d83d059e.png

Hi @ScottMcMullan-4717,

I tried to test on my colleague's iPhone and got the same result as yours. The version number is 4.2109.0 (Outlook for iOS), is it the same at your end?

Hi @ScottMcMullan-4717,

As this is affecting Outlook for iOS only and works fine on other platforms, we might need some more time to research the issue. I'll keep you posted as soon as I know more. Thanks for your understanding and patience.
