Email disappeared from Folder after Forwarding to recipient

Just something that I and other IT guy are unable to solve previously from November last year, for one of our staff. Our staff was mentioning about in some rare occasions, a few original emails from a Folder on Outlook 2013 which he would later forwarded them to his clients, after forwarding, these original emails ended up missing from that Folder where they originally located.

To avoid having encountering these issues again, The staff would instead copy the whole email content, paste them on a ‘New Email” box, add the recipient and then send, and has been doing so since then.

It “happens again”, this time on another staff as well who previously did not encountered any issues forwarding emails messages back then.

Is there any way to fix the issue as stated?

Hi @WuRuiQiang-6079,

these original emails ended up missing from that Folder where they originally located.

Did this issue occur on any specific messages or all messages that you forwarded? If it occurred on any specific messages, are there any similarities on them?

And what's the type of your account(pop,imap or exchange)? In order to further confirm if these emails were missing in your mailbox, it's suggested to search it via type the subject in search field on your outlook client and web mail. At the same time, we could also try to forward the message in your web mail and check if you could work normally there, if you could search the message on your web mail or the issue only occurred on your Outlook, the issue may be more related to your client itself.

What's the version of your Outlook 2013(File>Office account>About Outlook), please first ensure that you have updated to the latest version of Outlook.
As I know, there seems to be no option in Outlook that could cause the message deleted after forwarded, considering the issue occurred on two users' client, did they have any similarities on their client(such as install any add-ins or other programs), in order to avoid the interference of Outlook add-ins and other programs, it's suggested to close other programs and restart your Outlook in safe mode for testing(windows + R>type "outlook.exe /safe">enter).

If the issue still exists, based on my research, it would also occur when your outlook data file is corrupted, it's suggested to repair your data file to check.

Hi, my apologies for the long delay and been observing the staff email processing, here it is:

In early October 2020 data and contents of our Microsoft Exchange Mail 2010 of the Microsoft 2008 R2 Server was migrated to the new Windows 2019 Server with installed Microsoft Exchange 2016, and then upgraded to the Microsoft Exchange 2019.

After this the first issue encountered was the Outlook search function, which was later resolved and explained by the vendor and us. Then this issue, which our staff was mentioning about in some rare occasions, a few original emails from a Folder on Microsoft Office Home and Business 2013 which he would later forwarded them to his clients, after forwarding, these original emails ended up missing from that Folder where they originally located.

Obviously these messages already became unsearchable (cannot be found) from their original folders and restarting the Outlook software doesn't helps either. Our staff may still located the "post-forwarded" copies of those disappeared messages in their sent folder, in some occasion they do not. I doubt there was problem with the ost files at all.

Even though I quickly updated the the staff PC's Microsoft Office Home and Business 2013 to the latest version soon after the issue, the problem sometimes still persisted, this time encountered by several staff on their respective PCs. The email messages are very important because our staff need to refer them for references.

I urge you to send this message to the Microsoft team to look into this issue and release a fix so that the email messages will "stay in place" (on their folder location) after being forwarded to the recipients.

Thans for your update, did this issue occur on all Outlook 2013 clients or any specific clients only? Have you checked if there are any similarities on them except the client version?

In order to avoid the interfrence of corrupted .ost file, we could try to work in online mode to check if the issue has any difference(File>Account settings>Account settings>choose your account>uncheck cached exchange mode). Also, according to your description, if the issue could be reproduced aon your owa, considering it occurred after you migrate the server, it's also suggested to troubleshoot your issue in the point of your server.

Thanks for the response, this similar issues does occurs in other staff as well, although sometimes or rarely. As for the cached exchange mode, because the email account is a shared among a small group of staff, this is already unchecked from the beginning.

Although this issue happens soon after the migration, how to troubleshoot correctly and accordingly on the new Exchange 2019 server? Back then I even called back the vendor to check on this issue, due to the missing email message from the folder after being forwarded, he is not able to identify the source of the problem itself.
