Calendar invites not accepting in calendar when autforwarded

As the majority of people in PA / Office Manager/ Administration positions, we often manage multiple mailboxes and calendars. As an example for this enquiry I will use a Boardroom mailbox, where all our staff email the Boardroom mailbox to book out time in the boardroom via the calendar. I manage this Boardroom mailbox, have full mailbox access rights and have all the emails auto forwarded to my mailbox so I don't have to move between the multiple mailboxes.

I’ve noticed that when a calendar invite is sent to the Boardroom mailbox, then auto forwarded to me, when I go to accept it, it accepts it in my personal calendar and not the Boardroom calendar to which it was sent, even though the invite itself wasn’t actually sent to me.


Is there a way to change the setting so that when I accept calendar invites through my personal mailbox that have been sent only to the Boardroom mailbox and not to myself, that it accepts it in the Boardroom calendar and doesn’t appear in mine.

I do think it would be a very useful feature moving forward, certainly for those of us in PA/ Office Manager/ Administration positions as we often manage multiple mailboxes and calendars so to be able to action all the requests without having to constantly switch between the various mailboxes would allow us to increase productivity.

Welcome to Q&A forum.

Please kindly understand under Outlook Tag, we mainly focus on general issue on Outlook desktop client, so are you working with Outlook client?

Based on my research for your issue, we don't need to set someone in charge of the normal room mailbox or equipment mailbox, so are you actually working with a shared mailbox? If so, did it has own password and could it be configured in your Outlook?

Actually, it's normal that the meeting is added to your calendar when you accept a meeting that was forwarded to you, because the meeting recipient has switched to you after it was auto-forwarded.

As an workaround in Outlook client, if the mailbox could be configured in Outlook, we could set the delegate access in shared mailbox(File>Account settings>Delegate access>Add your account), so that you would receive the meeting request directly and don't need to set auto-forward, then you could accept the request on behalf of the shared mailbox and the meeting would be added to the shared mailbox's calendar.
