Additional Email Alias

Hi All

I am using exchange 2016 hybrid environment, i have a shared mailbox created in cloud whose primary smtp address is sharedmailbox01@contoso.com i have added an additional smtp address sharedmailbox02@contoso.com to it. i have a requirement if any email is sent to sharedmailbox02@contoso.com the emails should be moved to a folder. How can i know whether the sender is sending email to sharedmailbox01@contoso.com or sharedmailbox02@contoso.com. is it possible to create an outlook rule to move the emails to a folder sent to secondary email address sharedmailbox02@contoso.com.

Hi @RisingFlight-7863 ,

No, for Exchange, the two addresses are both considered as a mailbox.
Neither transport rules nor inbox rules could be applied to the secondary address.
And the message tracking log will not recognize it as a recipient.

The additional addresses are called proxy addresses. A proxy address lets a user receive email that's sent to a different email address. Any email message sent to the user's proxy address is delivered to their primary email address, which is also known as the primary SMTP address or the default reply address.

Hi @RisingFlight-7863 ,

Yes but not for all.

Actually I find that, for external users, if they sent emails to the secondary email address of your internal users. The message header will show the 2rd one. But if the sender is one of your internal users, it's not.

Which means you could use 'with "Secondary Address" in the message header' rule for external users.

The reason why this could work in my opinion, is that the "convert" of the address is working in your internal mail flow. It should work after the mail going through Edge server(if you have one) and entering your mailbox server. For the internal mails, the message header will always show the mail address, which means the rules will not be able to work.

i think this rule will work for me , but how do i create outlook rule pointing to secondary email address, the users who send email to the secondary email address are external users.

For example your secondary email address is shared02@contoso.com.
Then you could create a inbox rule like:
