Microsoft Office 365: Outllok Rules Not Working

I have two gmail addresses set up in Outlook 365. There are times when I login via the web when I am not at my home office or via the app on my iPhone. If I am at my home office, I use the downloaded app. I started to create simple rules moving inbound emails to folders based on the sender, but they do not work. I tried to generate the report offered in settings, but it is never received. Is it the way that the emails were set up within Outlook? Trying to use Microsoft 365 is becoming more trouble than it is worth. For all intents and purposes I am just a regular joe user.

Hi @JennaMeagher-0264,

Welcome to Microsoft Q&A!

I started to create simple rules moving inbound emails to folders based on the sender, but they do not work.

Based on my experience, Outlook for iOS app has not supported creating Outlook rules, so are you creating Outlook rules from your desktop client?
Can your Outlook rules work fine from your desktop client side? And do you mean that those rules you created from your desktop client side cannot work on your Mobile App or on your Gmail web mail?

If this is your case, I'm afraid that might be normal. Please kindly understand that Outlook rules can only be synced between devices when using Exchange email account. For POP and IMAP email accounts like (Gmail, Yahoo and so on...), Outlook will only run on the desktop client where you created the rules.
For more information, you could check this document: Sync basics - what you can and cannot sync.

As a workaround, if possible, it would be more suggested for you to switch to an Exchange email account like Outlook.com email account or O365 email account, so that we could avoid the trouble when using between different devices.

If this is not your case, please feel free to let me know more information about your issue for further research.

Hope this can be helpful.

Hi Jeff,

Thank you for your response.

II logged into Microsoft 365 via the internet and opened Outlook, then created the rules. I was not aware of being able to obtain Outlook or 365 email addresses. I have three personal gmail addresses. Where can I get info on creating Outlook/365 accounts? Would this change also help with the sync issues I am having?

Hi @JennaMeagher-0264,

Thanks for your reply.

As we discussed above, in order to realize the mailbox content(like emails messages, calendars, Outlook rules(Server-side rules)...) can be synchronized on different devices, we need an Exchange email account, while Mail account like Gmail can only be configured as IMAP or POP email account in Outlook.

So, before everything, you need to have an Exchange email account first. If you do not have one, the free personal Outlook.com email account might help.
