Outlook 2010 profile randomly losing online archive folder, Scheduling Free/Busy, and ability to set out of office.

We are a small / medium business running Exchange 2010 with Outlook 2010 Professional clients. We utilize Exchange in place archiving. The Exchange server was updated to UR 32 on 3/10/21 I'm not sure when previous UR's were installed because I can't find a way to see the dates of installations, but I'd estimate that it had been at least a year since any UR's were installed on the Server prior to 3/10/21.

Regardless, on 2/26/21 I received my first complaint of this issue from a user. The user stated that they were unable to see their archive folder in Outlook. I logged in and deleted their Outlook profile and created a new on and they were fixed.

Over the course of troubleshooting this, I've discovered that not only do the archives disappear, but the scheduling / free busy data is unavailable, and they are unable to set their out of office through Outlook (it reports the server as unavailable). Recreating the profile fixes all three of these.

This has happened on a handful of clients over the last several months, it has never happened to me. Maybe 1 or 2 times every other week I'd get this reported and I'd fix it and it would go away - no big deal.

On certain users however, it keeps happening over and over again. Recreating the profile will fix the problem for an indeterminate amount of time, sometimes many months, sometimes a couple of weeks, but then it happens again. I have probably in the neighborhood of 5-10 users where it has happened 3 - 4 times each, though others have never reported the issue again. But It's hard to gauge because many users do not use archives, free/busy, or out of office. The original user on 2/26/21 however has never had the issue again.

After not being able to find any info on this, and posting a less detailed version of this problem already some months ago, I'm posting again to see if I can list everything I've learned and maybe find a permanent solution.

About the only advice I got from my previous post on this forum was to disable cached exchange mode, which I did, but it did not resolve the issue.

There are times where I don't get any reports of this for several weeks, then I get 2 or 3 at a time.

I have tried using the "Repair" option under Account Settings, which always initially fails to find the account information, then cancelling it, quitting Outlook, and running it again causes it to immediately say that the problem is corrected and to restart Outlook. Upon restarting Outlook, the archive folder is there, but in about 20-30 seconds it will disappear off the screen in front of my eyes. Sometimes redoing the repair several times will get it to stick, and other times I have to recreate the profile.

I took three registry dumps of the Outlook profile during the above process, one when it was "broken", one when it was "repaired", and one after I restarted and it was "working". Aside from some minor differences, the big difference is that the broken one is missing the entire key which references the guid to the archive mailbox. When you repair the mailbox it comes back, and when it breaks again, it deletes that key. Unfortunately all the keys are random names, so I can't just tell you what key it is. The key in question contains 17 REG_BINARY keys and two REG_SZ, 001e660c which gives the name of the Exchange server, and 001e660b which gives the name of the archive mailbox

All of these features work 100% ok on the OWA side of things, and it seems to be completely limited to the Outlook profile in registry.

All clients are Windows 10.

So, something for some reason is deleting the key referencing the archive guid in the Outlook profile. I don't know if it's also changing other keys regarding the free/busy / Out of office, but I figure if anybody can help explain why this key is being deleted, that would be a huge start.

I know 2010 is eol but it works great otherwise and there's no justification feature wise to update to anything newer and O365 is simply too expensive. I would consider upgrading the Exchange server itself if I could point to it as being the issue, but there's no indication that there's any issue on the Exchange side of things.

Any help would be very appreciated. I don't mind fixing the issue, but I feel bad for the users who are hitting this issue repeatedly.

Hi @RichardSims-5033

Do the affected users have something in common? For example, they all have shared mailboxes or their mailboxes are shared with others.
And can you find some error or warning events generated in the event viewer>application log on the Exchange server when the issue occurs?

I haven't found any obvious connection between them. Some of them use the GotoMeeting Outlook plugin, but most of them do not.

Sorry, I should have mentioned this, I have not been able to find any kind of error message in any event on either a client or on the server. During the "Repair" method where I can actually see the folder going away, I've checked all over the client for an error and see nothing.

Thanks for the update.

While it seems to me that these two issues may have different causes.
1.The archive mailbox disappears.
It may have something to do with the registry as you mentioned in the main post.
Here is also a KB link which introduces another possible cause: Online Archive is not displayed or it's displayed instead of your mailbox in Outlook 2010

I would also suggest reinstall Outlook or upgrade to the latest version(Outlook 2010 sp2).

2.Free/Busy, OOF are not working.
To me it may have something to do with the EWS virtual directory.
However, there aren't any events generated in the application log that indicates the possible cause.

If possible, please run a Test E-mail Autoconfiguration via Outlook when the issue occurs.
And check if the EWS url is returned in the results.

I checked out, and I believe I have previously checked out that article. I had previously looked into the Mapi over HTTP protocol possibility and have found the following to be true on the systems I've examined for that problem.

  1. The connection status reports RPC/TCP - not any of the other choices.

  2. The registry key in question regarding the disabling of the Mapi over HTTP is not present on our systems.

  3. Our Outlook clients are fully patched up to version 14.0.7268.5000 from April of 2021, and should include the patch you referenced, which is no longer available because it has been incorporated into larger releases.

The selection of protocol is an interesting question, does anybody know which is the best protocol to use? Selecting protocols is not something I've ever had to do on any of the Exchange servers I have managed.

I have tested the E-mail Autoconfiguration on several systems with no issues, however I haven't done it on any afflicted systems during their issue. I will endeavor to do that, however I don't see how the auto-configuration could work for all of the non afflicted clients and then not work for some, nor how simply recreating the profile would somehow fix the auto-configuration system. However it is interesting to me that Outlook seems unable to "find" things (especially the OOF server not found message).

I just ran the test on a previously fixed system, and it does return the EWS with no issues.

Would it be possible that there are some processes or policies modifying the registry on the affected devices?
As recreating the profile would get rid of all these issues, the major changes would be it created a separate key for Outlook profile in registry.

So I just fixed one again, and this was another repeat customer. I was able to use the "repair" method, it took two attempts.

I ran the Test E-mail Autoconfiguration before trying to fix it and it did not complete, but I also couldn't find a hard failure in the log file. I ran it again after it was working an it completed immediately. I did a file compare on the two results, and there was no differences, so it appears that both tests "worked", but the first test never completed for some reason, which sort of fits with some of the other symptoms I'm getting.

Did the user have any trouble with the primary mailbox when the issue occurred?
For example, can he send and receive emails normally?

Thank you for responding, but this does not seem to apply to my situation. The Archive mailboxes do not show up as secondary mailboxes in users' profiles, and per advice I already received, Cached Exchange Mode has already been disabled for all users. Also, none of the Symptoms apply as if they can see the archive mailbox everything works completely fine, it's just that they can't see it at all. Also, the free/busy and Out of Office wouldn't apply to the archive mailbox exclusively.

Archive Folder may have some important emails in it that you have moved from your primary mailbox. However, if you are unable to view the Archive mailbox, then you will not be able to access such mails. That’s why I will suggest you to take the backup of your mailbox at the easiest way by using any alternative tool.

I'm not sure what you're suggesting. The archive mailbox is not going away, it is always available either by recreating the profile, or on OWA, but Outlook is simply losing the pointer to it.
