In Microsoft Dynamics 365 Business Central, you can use resources for people or machines that are used to service customers. Examples include technicians, project managers, tools that are rented out to customers, and so on.

You can sell and purchase resources in Business Central. You can sell resources that are related or not related to a job. The resources that are purchased are never related to a job.

For each resource, you must create a resource card. Examples of resources include people or the machines that you use on jobs.

To access the resources list, select the search for page icon in the upper-right corner of the page, enter Resources, and then select the related link. In the list of resources, select the No. field to open a resource card.

The resource card contains the following FastTabs:

  • General - Enter general information on the resource, such as the name, the type of resource, and the base unit of measure.

  • Invoicing - Includes information on the cost and sales price of the resource. You can also configure posting groups for the resource on this FastTab.

  • Personal Data - For resources of the type Person, you can enter data like the job title, address, and employment date.

You can set up various resource costs and prices based on a combination of type, code, and work type code. You can specify cost, percent extra, or LCY extra. Prices can also be specified for a job or work type. For example, you can charge a customer more for using a person who needs to work overtime. Costs and prices can apply to a resource, resource group, or all resources.

The process of resource planning involves entering a capacity for a resource and then allocating the capacity across jobs and service orders. In Business Central, this process is done on the following pages:

  • Resource Capacity - Allows a resource to be assigned a capacity or the amount that a resource can be used. In the case of a person, this capacity might be eight hours a day. Notice that instead of selecting the time option, you can assign the amount in any increment. The Prices and Planning tabs have similar functionality to those on the resource card.

  • Resource Availability - Allows you to view the availability of resources through different periods of time.

To enter resource capacity, select the search for page icon in the upper-right corner of the page, enter resource capacity, and then select the related link.

The resource availability is calculated by subtracting the allocations to jobs, service orders, and assembly orders from the resource capacity. Allocating a resource to a job is done through the job planning lines.
