Set up divisions and departments to reflect your organization

Use departments and divisions in Microsoft Dynamics Marketing to reflect the structure of your organization.
Divisions
Microsoft Dynamics Marketing lets users provide a consolidated or roll-up view of all marketing activities that are related to a specific division of a company.
Important
Division associations are permanent; once you associate an item (expense, contact, task, etc.) with a division, you can't change the division.
How divisions relate to companies
A company can have an unlimited number of divisions. However, divisions can only belong to a single company.
Note
Divisions are not required; you can link information directly to companies without setting up divisions.
View divisions of the site company
Choose Settings > My Company > Divisions. Microsoft Dynamics Marketing displays a listing of all the divisions where:
The status is active.
You are a member of the division's team.

View divisions of clients and vendors
Choose clients or vendors.
Open the dashboard of the company you want to work with.
Microsoft Dynamics Marketing displays a listing of all the divisions where:
The status is active.
You are a member of the division's team.
Create a new division
On the View Divisions page, click the New button
.Microsoft Dynamics Marketing opens a blank Division page.
Enter the information.
Field
Description
Status
Select a status.
Name
Enter the name of the division. An entry is required. If you enter the same name twice, Microsoft Dynamics Marketing will display a warning.
Company
Select the company that this division belongs to from the pull-down menu. If a default company has been set, the default company will be selected. To add a new value to the pull down menu, see Company settings and configuration.
Category
Select the category this division belongs to.
Description
Enter a description of the channel.
Phone, Fax, URL, Address
Enter this information for the division.
Click Submit.
Departments
Departments let you provide a consolidated or roll-up view of all marketing activities that are related to a specific department.
How departments relate to companies
An unlimited number of departments can belong to each company created in Microsoft Dynamics Marketing. The system automatically "rolls up" departments to the company they belong to.
How departments relate to divisions
An unlimited number of departments can belong to each division that is created in Microsoft Dynamics Marketing. Departments can only belong to a single division.
View departments of a site company
Choose Settings > My Company > Departments. Microsoft Dynamics Marketing displays a listing of all the departments where:
The status is active.
You are a member of the department’s team.

View departments belonging to client or vendor companies
Choose clients or vendors.
Open the dashboard of the company you want to work with.

The status is Active.
You are a member of the department's team.
Create a new department
On the View Departments page, click the New button
.Microsoft Dynamics Marketing opens a blank department page.
Enter the information.
Field
Description
Active
Set the department status to active or inactive.
Name
Enter the name of the Department. If you enter the same name twice, Microsoft Dynamics Marketing will display a warning.
Description
Enter a description of the department.
Account
Select the Expense/Billing Account that is usually used when you do work for the department.
Code
Enter the code, ID or number of the department, if it has one.
Company
Select the company that this department belongs to from the pull-down menu. If a default company has been set, the default company will be selected.
Division
Select the division that this department is for from the pull-down menu.
Click Submit.
Mark departments as inactive
If a department's status is set to inactive, the department's name can’t be selected in other Microsoft Dynamics Marketing functions.
To set a status to inactive, clear the check box
on the department page.
Important
Departments can't be deleted since information throughout Microsoft Dynamics Marketing is linked to them.
