How to: Check Documents In and Out of a Document Library (Team System Web Access)

You can use Team System Web Access to check out documents from Team Foundation document libraries. After you have checked out a document, you can modify it, and then save the document and check the changes back into Team Foundation.

Important noteImportant Note:

You can use Team System Web Access to check out any files, but only the files that are in folders that have versioning turned on are updated. If versioning is not turned on, the file is not updated.

Required Permissions

To perform this procedure, you must be a member of the Team Foundation Valid Users security group. If the necessary security permissions are set explicitly, you must have the View project-level information permission on the team project set to Allow. You must also be a member of the Windows SharePoint Services Contributor group. For more information, see Team Foundation Server Permissions.

To check out a document

  1. In Team System Web Access, click the Documents page.

  2. On the Documents page, click the document library folder from which you want to check out a document. The Documents page is refreshed to display the contents of the folder.

  3. On the Documents page, point to the document that you want to check out, click the arrow, and then click Check Out.

To modify a document

  1. On the Documents page, click the document that you checked out.

  2. In the File Download dialog box, click Save, and then save the document to a location on your computer where you can easily find it.

  3. Open the document from the saved location, modify it, and save your changes.

  4. Close the document.

To check in a document

  1. On the Documents page, on the toolbar, click Upload Document.

  2. In the Upload Document dialog box, click Browse, locate the modified document, and then click Open.

  3. Select the Overwrite (if file exists) check box and then click OK.

  4. On the Documents page, point to the document that you want to check in, click the arrow, and then click Check In.

  5. In the Comment box, type an optional comment to associate with this check-in event.

  6. Click OK.

    The Document page is refreshed to display Last modified by <user name> under the Status column for the file that you checked in.
