Scheduling administration

Scheduling administration is a management app that is available with the scheduling app. It caters to the following personas that are a part of the day to day management of the scheduling process:

  • Scheduling administrator: It is responsible for setting up the scheduling business process in the institution. The Scheduling administrator decides which meeting types are covered as part of the services provided in the solution, the preferences, the type of available advisors, and their qualifications. This persona uses the Settings area of the app.

  • Branch manager/Resource manager: It acts as the day-to-day manager of the available advisors in the system. These personas cater to the advisors' availability, map their roles and skills, and monitor the incoming meetings. They use the Calendars area of the app.

Note

Users require relevant security roles to access the Scheduling administration app. You can either find the Scheduling administrator and Scheduling manager roles available out of the box or create custom ones. For more information, go to Deploy Microsoft Cloud for Financial Services.

Components in the Scheduling administration app

The Scheduling administration app includes the following components:

  • Calendars area

  • Settings area

Calendars area

This area contains the options for monitoring ongoing meetings across advisors and managing advisor capabilities and work hours.

  • Team calendars

    • Schedule board: Tracks the different meetings for the advisor team in a cross-team view. Learn more: Schedule board

      Note

      Intelligent appointments does not use the Bookings entity. Therefore, the particular entity is used as a read-only view and displays advisor appointments from Dataverse.

    • Advisor meetings: Displays a list view of the different advisors' active appointments configured using the intelligent appointments engine.

  • Resource management

    • Advisors: Displays a list of the available advisors in the environment and the ability to create new ones, modify details and work hours of the available advisors, and delete inactive advisors. Learn more: Set up advisor resources.

    • Work hour templates: Set up work hour templates that can be applied to multiple advisors and are useful for advisors with shared working hours.

      a. Set up an existing or a new advisor.

      b. Create a work hour template and link it to the advisor.

      c. Select all the relevant advisors in the list view and click Set calendar in the ribbon.

    • Business closures: Set up business closures.

Settings area

This area contains the options for the complete setup and maintenance of the scheduling engine.

  • Meeting Categories

    • Meeting types: Displays the list of meeting types. In addition, allows you to set up new meeting types and modify existing types. Learn more: Set up meeting types.

    • Meeting topics: Displays the list of meeting topics. In addition, allows you to set up new meeting topics and modify existing topics. Learn more: Set up meeting topics.

    • Resource requirement group templates: Displays the list of resource requirement group templates. In addition, allows you to set up new resource requirement group templates and modify existing templates. Learn more: Set up resource requirement group templates.

  • Communications

    • General settings: Controls customer communication related to meeting schedules, cancellations, and reminders. You can only use the options on this screen if you have configured proper workflows for the relevant channels. For more information, go to Configure communications.
  • Resource setup

    • Branches: Displays a read-only list of branches as set up in the data model.

    • Work hour templates: Set up work hour templates that can be applied to multiple advisors and are useful for advisors with shared working hours.

      a. Set up an existing or a new advisor.

      b. Create a work hour template and link it to the advisor.

      c. Select all the relevant advisors in the list view and click Set calendar in the ribbon.

    • Business closures: Set up business closures.

    • Advisor roles: Set up new roles or modify the existing roles and displays the list of advisor roles. Learn more: Set up advisor roles.

    • Skills/Credentials: Displays the list of skills and allows you to set up new skills or modify the existing skills. Learn more: Set up skills.
