How to: Approve or Reject Requests for Approval

When an approval request has been submitted as part of a workflow, an approval request entry is created for the approver, and a notification is sent depending on the workflow notification setup. If an approver hierarchy is set up, the approval request is created for the next approver when the first approver has approved it. For more information, see How to: Set Up Approval Users.

If you are set up as an approver, you can see a list of the approval requests that are created for you in the Requests to Approve window. You can either act on requests based on lines in the Requests to Approve window, for example to approve multiple requests in one action, or you can act on a request in the window that displays the record.

Depending on the workflow notification setup, you can choose a link in the notification to open the window where you must act on the approval request. For more information, see Setting Up Workflow Notifications.

Approval of records must be set up as workflows, one workflow for each scenario, such as the Purchase Invoice Approval Workflow. The generic version of Microsoft Dynamics NAV includes workflow templates for approval of all types of sales and purchase documents and for other records, such as customer cards. For more information, see the list of workflow templates in the Workflow Templates window.

To approve or reject in the Requests to Approve window

  1. In the Search box, enter Requests to Approve, and then choose the related link.

  2. Select one or more lines for the record or records that you want to approve or reject.

  3. On the Home tab, in the Process group, choose Approve or Reject.

To approve or reject on the record of the request

  1. In the window that displays the record to be approved, on the Actions tab, in the Request group, choose Approve or Reject.

When a record has been approved or rejected, the approval status in the Status field changes to Approved or Rejected. The field can show two types of status: Record status and approval status. The Status field only shows approval status if an approval request exists for the record.

If an approver hierarchy is set up, the record status will be Pending Approval until all approvers have approved the record. Then the record status will change to Released.

At the same time, the approval status changes from Created to Open as soon as an approval request for the record is created. If the request is rejected, the approval status changes to Rejected. The status remains Open or Rejected until all approvers have approved the request.
