Manage Migration Batches in Exchange Online

You can use the E-mail Migration dashboard in the Exchange Control Panel to manage mailbox migration to Exchange Online using a cutover or staged Exchange migration. You can also use the migration dashboard to migrate the contents of users’ mailboxes from an on-premises IMAP server to existing cloud-based mailboxes. The migration dashboard displays statistics about the overall migration in addition to statistics about a specific migration batch. You can create, start, stop, pause, and edit migration batches.

The migration dashboard

To access the migration dashboard, select Manage My Organization > Users & Groups > E-Mail Migration. The following screenshot identifies the different areas of the migration dashboard that you can use to get migration information and manage migration batches.

Overall migration statistics

This area of the migration dashboard displays the overall statistics about all migration batches that have been created. The following fields display cumulative information about all migration batches.

Field Description

Total

The total number of mailboxes from all current migration batches.

Active

The number of mailboxes that are actively being migrated. This number corresponds to the number of mailboxes to migrate simultaneously that you specified when you configured the connection settings for the migration batch that’s currently running.

Synced

The number of mailboxes from all migration batches that were successfully migrated.

Errors

The number of mailboxes from all migration batches for which migration failed.

Note   Depending on the migration type, the value for these fields also indicates the number of distribution groups and mail contacts that were migrated.

Migration batches

Migration batches that are created are listed in the migration queue. The following columns display information about each migration batch.

Column Description

Position

Indicates the position in the migration queue. Exchange Online processes the migration batches in the sequence listed in the Position column. You can change the sequence of migration batches by selecting a migration batch and then clicking Move to Top move up or Move to Bottom move down.

Name

The name of the migration batch that was defined when the migration batch was created.

Status

The status of the migration batch. The following is a list of the different status states for migration batches, along with what you can do with migration batches in each of these states:

  • Created   The migration batch has been created. In this state, you can start, edit, delete, or change its position in the migration queue using move up or move down.
  • Queued   The migration batch has been started. If the migration batch is at the top of the queue, it will start to run. If there are migration batches above it in the migration queue, the migration batch will remain in a queued state. It will start running after all migration batches above it have completed. When the migration batch is in this state, you can stop it or change its position in the migration queue using move up or move down.
  • Running   Mailboxes in the migration batch are being actively migrated. When a migration batch is in this state, you can stop it.
  • Stopped   The migration batch is stopped, and no more mailboxes from the batch are being migrated. When a migration batch is in this state, you can restart it.
  • Synced   The migration batch has completed, and no mailboxes are being actively migrated. A migration batch in this state may contain errors if mailboxes weren’t migrated. For cutover Exchange migrations and IMAP migrations with this status, on-premises and cloud-based mailboxes are synchronized every 24 hours.

Migrated

Indicates the number of mailboxes (out of the total number of mailboxes in the migration batch) that were successfully migrated. For example, the value 8/10 indicates that eight mailboxes, out of the total migration batch of 10 mailboxes, were successfully migrated.

Errors

The number of mailboxes in the migration batch for which migration failed. You can display information about specific mailboxes that have migration errors. For more information, see E-Mail Migration Users Status Report.

The migration dashboard contains a set of commands that you can use to manage migration batches. After you create a migration batch, you can select it and then click one of the following commands. If a migration batch is in a status state that isn’t supported by a command, the command is dimmed because it’s unavailable.

Command Description

New

Create a new migration batch. If there are current migration batches, the migration type and connection settings persist from the previous migration batch. If no migration batches have been created, you have to select the migration type and then enter new connection settings.

Edit

Edit an existing migration batch. You can change the connection settings for the migration batch and change the number of mailboxes to migrate simultaneously. For staged Exchange migrations and IMAP migrations, you can submit a different CSV file. You can only edit a migration batch that has a status of Created.

Start

Start a migration batch that’s been created. As previously stated, if the migration batch is at the top of the queue, it will start to run. If there are migration batches above it in the migration queue, the status of the migration batch is changed to Queued. Exchange Online will start to process the migration batch when it’s at the top of the queue.

Resume

Resume the running of a migration batch that was paused and has a status of Stopped. If there are errors for a migration batch, you can restart it with this command and Exchange Online will attempt to migrate the mailboxes that failed.

Pause

Stop a migration batch that’s currently running or that’s been started but has a status of Queued. You can also stop a cutover Exchange migration batch or an IMAP migration batch that’s completed the initiation synchronization phase and has a status of Synced. This will stop incremental synchronizations. You can resume incremental synchronizations by selecting the migration batch and clicking Resume.

Delete

Delete a migration batch after you verify that all mailboxes in the migration batch have been successfully migrated and that mail is being routed directly to cloud-based mailboxes after you have configured your MX record to point to Office 365. When you delete a migration batch, Exchange Online cleans up any records related to the migration batch and removes it from the list. When you delete a migration batch for a cutover Exchange migration or an IMAP migration, Exchange Online performs a final synchronization for all mailboxes and then stops synchronizing the on-premises mailboxes and the cloud-based mailboxes in the migration batch.

Move to Top

Move a migration batch to the top of the queue.

Move to Bottom

Move a migration batch to the bottom of the queue.

Refresh

Refresh the migration dashboard to update the information displayed for the overall migration statistics, the list of migration batches, and the statistics for the selected migration batch.

Migration batch statistics

The details pane in the migration dashboard displays the following statistics about the selected migration batch.

Field Description

Status

The current state of the selected migration batch.

  • Created
  • Queued
  • Running
  • Stopped
  • Synced

See the previous description of each of these states.

Requested

The number of mailboxes to be migrated in the migration batch. This number corresponds to the number of rows in the migration CSV file.

Synced

The number of mailboxes from the current migration batch that have been created in your cloud-based organization. This field is updated during the migration.

Active

The number of mailboxes being actively migrated. This number corresponds to the number of mailboxes to migrate simultaneously that you specified when you configured the connection settings.

Errors

The number of mailboxes that failed migration.

Creation Time

The date and time when the migration batch was created.

Start Time

The date and time when the migration batch was started.

Initial Sync Time

The date and time when the migration batch was completed.

Initial Sync Duration

The amount of time it took to complete the initial synchronization for all mailboxes in the migration batch.

Last Sync Time

The last time the migration batch was restarted or the last time that incremental synchronization was performed for the batch.

Per-User Details

Click Open to display status information about each mailbox in the migration batch. For more information, see E-Mail Migration Users Status Report.

Reports

This section of the details pane contains links to the migration success and error reports. Links to these reports are sent to the administrator after the migration is complete.

Click Success or Errors to download the following reports:

  • MigrationStatistics   A CSV file that contains a row for each mailbox that was successfully migrated. Each row contains the e-mail address of the mailbox, the status of the migration, the number of mailbox items that were migrated, and the number of mailbox items that were skipped and weren’t migrated.
  • MigrationErrors   A CSV file that contains a row for each mailbox that wasn't migrated or configured for mail forwarding. Each row contains the e-mail address of the mailbox and a description of the error.
