How to: Send Query Results in E-Mail

You can send results from a query in an e-mail message using Team Explorer. The data from the work items is displayed as a table in the e-mail message. Each work item will contain a hyperlink to a Web view of the work item. The Web view will be a read-only Web page of the work item, or a Team System Web Access page, depending on how Team Foundation Server is configured. For more information, see "How to: Configure Work Item URLs to use Team System Web Access" on the Microsoft Web site.

The columns in the table and the order of the work item rows are determined by the query definition. If you select work items from the query view or results view, the columns and rows in the table match what you see in Team Explorer. The only exception is that the ID column is always displayed as the leftmost column.

Note

To send query results in e-mail, you must have Microsoft Office Outlook 2003 or a later version installed. Also, Microsoft Outlook must be configured to use a working e-mail account.

Required Permissions

To perform this procedure, you must be a member of the Readers group or have the View work items in this node permission set to Allow. For more information, see Team Foundation Server Permissions.

To send the results of a query

  1. Right-click the query in Team Explorer and then click Send Query Result in Mail. You can also click Send Query Result in Mail on the View menu.

    A new e-mail message opens and displays a table of the query results.

    Note

    If the query returns no results, you will receive an error.

  2. Complete the e-mail message by providing a title, address, and remarks as necessary. Then click Send.

To send a selection of work items

  1. In Team Explorer, open or run a query so that you see a list of work items.

  2. Select one or more work items that you want to send.

  3. Right-click the selection of work items and then click Send Selection in Mail. You can also click Send Selection in Mail on the View menu.

    A new e-mail message opens and displays a table of the work items that you selected.

  4. Complete the e-mail message by providing a title, address, and remarks as necessary. Then click Send.
