Allow multiple posting groups for customers and vendors

Sometimes you might want to post payable and receivable transactions to a different G/L account than the one that's specified on the customer or vendor posting group. For example, you should post a bad debt transaction to another receivables G/L account.

In Business Central you can allow multiple posting groups for customers and vendor by turning on the Allow Multiple Posting Groups toggle on the following setup pages:

  • For customer posting group changes, turn on the toggle on the Sales & Receivables Setup and Service Mgt. Setup pages.

  • For vendor posting group changes, turn on the toggle on the Purchases & Payables Setup page.

Furthermore, you should also specify for which customers and vendors multiple posting groups are allowed.

To allow multiple customer posting groups, follow these steps:

  1. Choose the Search for Page icon in the top-right corner of the page, enter "Sales & Receivables Setup" and choose the related link.

  2. Expand the General FastTab.

  3. Turn on the Allow Multiple Posting Groups toggle.

When multiple posting groups are allowed in the sales and receivables setup, assign alternative posting groups so that you can change the customer or vendor posting group on sales and purchase documents.

To assign an alternative posting group to the DOMESTIC posting group, follow these steps:

  1. Choose the Search for Page icon in the top-right corner of the page, enter "Customer Posting Groups" and choose the related link.

  2. Select the DOMESTIC posting group.

  3. Select Related > Posting Group > Alternative Groups.

  4. In the Alternative Customer Posting Group field, select another customer posting group that you want to use as an alternative for the DOMESTIC customer posting group.

The setup of alternative posting groups isn't two-directional. For example, in the scenario above, EU is set up as an alternative posting group for DOMESTIC. But this doesn't make DOMESTIC an alternative posting group for EU. To achieve this, you would have to repeat the same setup steps for the EU customer posting group.

To allow multiple customer posting groups for customer 10000, follow these steps:

  1. Choose the Search for Page icon in the top-right corner of the page, enter "customers" and choose the related link.

  2. From the customer list, open the customer card for customer 10000.

  3. On the Invoicing FastTab, turn on the Allow Multiple Posting Groups toggle.

When all these settings are configured, you can select an alternative customer posting group on the Invoicing Details on a sales document.

By changing the customer posting group, you ensure that transactions post to the receivables or payables account specified at the time of posting. When you, for example, apply an invoice and a payment that are posted with different customer or vendor posting groups, resulting in different G/L accounts, Business Central transfers amounts between the G/L accounts to balance them.
