A reminder is like an invoice. When creating a reminder, you must fill in a reminder header and one or more reminder lines.

You can create reminders by using either of the following methods:

  • Automatically create reminders by using the Create Reminders batch job. Typically, you would use this method when generating reminders for all customers.

  • Manually fill in a header and use the Suggest Reminder Lines batch job to fill in the lines. Typically, you would use this method when only one reminder is needed for a single customer.

Both batch jobs contain different fields and filter options to define how and to whom the reminders are created:

  • Only Entries with Overdue Amounts

    • If this field is selected, the batch job only inserts open customer ledger entries with a due date that is earlier than the document date.

    • If this field is clear, the bottom of the reminder contains the amounts that are owed by the customer but are not yet overdue.

  • Include Entries On Hold

    • If this field is selected, the batch job includes open customer ledger entries that contain a value in the On Hold field, irrespective of the setting in the Only Entries with Overdue Amounts check box. The bottom of the reminder contains the amounts that are on hold.

    • If this field is clear, the batch job won't include open customer ledger entries that are on hold, even when these entries are overdue.

  • Use Header Level

    • If this field is selected, the reminder level of the reminder header is used to determine whether to calculate interest for a specific reminder line.

    • If this field is clear, the reminder level on each reminder line is used to determine whether interest must be calculated.

Update reminders

Several ways exist to help you determine the text that appears on the printed reminder. In some cases, you might want to replace the beginning and ending texts that have been defined for the current level with those from a different level.
