Create maintenance request lifecycle models

When you've created the necessary maintenance request lifecycle states, you can group them together to create a maintenance request lifecycle model. The lifecycle model determines the process or flow for a maintenance request. You can create as many different lifecycle models as you need, for example, a break-fix flow might have a different workflow than a change order request.

Important

You must create at least one maintenance request lifecycle model to use maintenance requests.

To create a maintenance request lifecycle model, follow these steps:

  1. Go to Asset Management > Setup > Maintenance requests > Lifecycle models.

  2. Select New to create a new maintenance request lifecycle model.

  3. In the Lifecycle model field, enter an ID for the lifecycle model such as Standard.

  4. In the Name field, enter a descriptive name such as Standard request model.

    On the Details FastTab, the Lifecycle states automatically shows the number of lifecycle states that are selected in this lifecycle model.

    Note

    When you are initially configuring new Maintenance request lifecycle models, this field will be blank until lifecycle states have been selected and saved in the Lifecycle states FastTab.

    The Maintenance request types field shows the number of maintenance request types that use this lifecycle model.

    When you are initially configuring new Maintenance request lifecycle models, this field will be blank until this Maintenance request lifecycle model has been associated with Maintenance request types.

  5. Save the record.

  6. Under the Lifecycle states FastTab, the active lifecycle states appear in the Lifecycle states remaining section at the left. These are the states that can be included in the new maintenance request lifecycle model group.

  7. To move a specific lifecycle state to the Lifecycle states selected section, select the state in the Lifecycle states remaining section to be moved and then select the right arrow button.

  8. To select all of the lifecycle states to be included in the model, select the right move all arrow button to move the entire selection from the Lifecycle states remaining section over to the Lifecycle states selected section.

  9. To remove a specific lifecycle state from the model, select the lifecycle state to be removed from the Lifecycle states selected section and then select the left arrow button to move it back to the Lifecycle states remaining section.

  10. To remove the entire selection from the model, select the left move all arrow button. All the lifecycle states in the Lifecycle states selected section are then moved back to the Lifecycle states remaining section.

  11. Select Save.

Note

You can change the order of your Lifecycle states selected section by selecting the state and using the up and down arrows at the right of the section to move the state.

Lifecycle state updates

When the maintenance request lifecycle model is created, you must define how the states can flow in the system. This definition is determined by your company’s process flow and design. This step-by-step procedure defines the allowed updates for the lifecycle states that you have created.

  1. While in the Maintenance request lifecycle models page, select Lifecycle state updates in the Action Pane.

  2. Next to each lifecycle state, select the status that the state can be changed to. Setup allowed updates for Maintenance request lifecycle states page.

    For example:

    • New can be changed to Active.
    • Active can be changed to Ended.
    • Ended can be changed to Active.
  3. Select OK to save your updates.
