Associate inspections

Inspections aren't associated directly with work orders but are associated with service task types. Service task types are added to incident types and work orders and are the steps that a technician performs for a work order.

Associate inspections with a service task type

To edit a service task type, go to the Settings area of the Field Service application. Under the Work Orders group, select Service Task Types. Set the Has Inspection toggle to Yes and the Inspection Template lookup field will display, as shown in the following screenshot.

You can select a published inspection template for the service type task and the questions are previewed on the form.

Note

After you have associated a service type task with an incident type or work order, you can't change the inspection template on the service type task.

Add inspections to an incident type

Rather than adding an inspection directly to an incident type, you'll create an incident type service task record. To add an incident type service task, select the Service Tasks tab and then select + New Incident Type Service Task.

Then, select the service task type that is associated with the inspection. When you've applied the incident type to a work order, the service task type is added to the work order with its associated inspection.

Add inspections to a work order

Rather than adding an inspection directly to a work order, you'll select the Service Tasks tab on the work order and then select + New Work Order Service Task.

In the list of service tasks for the work order, the inspection template is included, as shown in the following screenshot.

Associate inspections with customer assets

Frequently, service organizations will perform many inspections on the same customer equipment. Customer assets are used in Field Service to represent customer equipment. You need to build a service history for customer assets, and you can associate an inspection with a customer asset.

To relate an inspection to a customer asset, use the Relates To section, and edit the Work Order Service task that is associated with the inspection.

On this form, select the customer asset. By associating a customer asset, you'll ensure that the technician can view which customer asset needs the inspection. From the customer asset, the technician can view all related inspection history.

Note

If you relate a work order incident type to a customer asset, the related work order service tasks will be related to the customer asset automatically.

Inspect multiple assets at a customer location

If a technician needs to inspect several customer assets at a customer's location, you can handle this scenario in two ways:

  • Create one inspection with multiple questions, one for each asset, and then associate the single inspection to a single service task.

  • Create multiple work order service tasks, each with one inspection.

When determining which approach to use, keep in mind that you can associate work order service tasks to customer assets to build service history, which will be viewable on the customer asset record. Essentially, creating multiple service tasks, each related to a different customer asset, has the advantage of helping you build service history. The advantage of using a single service task with multiple questions is that it's easier to add to a work order and quicker to fill out.

Impromptu inspections

Often, organizations need to conduct inspections that are independent of work orders. The standard functionality in Field Service requires a work order, but you can enable inspections to be added to customer assets directly in Field Service. To enable this feature, you need to customize the relationship between the Customer Asset and Inspection tables and make the relationship visible in the Field Service app.

After you've completed this customization, technicians can create new inspections from the customer asset record.

Security roles

These security roles provide access to inspections as follows:

  • Field Service-Administrators - Create inspection templates and associate them to service task types.

  • Field Service-Dispatchers - Add service tasks with inspections to work orders.

  • Field Service-Resources - View work orders that they're assigned to, along with work order service tasks and the related inspections.
