Copilot in Dynamics 365 Sales

Copilot is an AI assistant in Dynamics 365 Sales that helps your sales teams be more productive and efficient in their daily work. The integrated chat interface allows sellers to do things such as get a quick summary of their opportunity and lead records, catch up on recent changes to their records, prepare for meetings, and read the latest news about their accounts.

Copilot capabilities

Copilot in Dynamics 365 Sales offers the following capabilities:

  • Record summarization: Provides you with a quick summary of your opportunity and lead records.

  • Recent changes: Copilot summarizes any changes that were made to your lead, opportunity, and account records.

  • Meeting preparation: Copilot helps you prepare for your upcoming meetings effortlessly, summarizing relevant information from the opportunity or lead records that are associated with the meeting.

  • News updates: Copilot can help you stay current with the latest news about your accounts.

The simplest way to get started with Copilot in Dynamics 365 Sales is to tell it what you need. Copilot responds to various different commands. You can launch the Copilot pane, by selecting the Copilot Icon.

Show my pipeline

A seller's pipeline in many ways is their lifeline. It allows them to understand what opportunities they're currently working on and how much potential revenue can be expected. With Copilot, you can get the list of open opportunities that are assigned to you, sorted by the estimated close date. In Copilot select Get info > Show my pipeline.

Summarize a lead or opportunity

Another way that Copilot can assist sellers is by providing summaries of lead and opportunity records they're working on. In the Copilot side pane, select the sparkle icon, and then select Get info > Summarize lead or Summarize opportunity. Based on where you are in the application, Copilot will do one of the following:

  • If you have a record open, Copilot summarizes it.

  • If you're in the grid view, Copilot lists the records you own. You can hover over a specific record and select Summarize to see a summary of that record.

You can get a list of changes for a specific lead or opportunity by typing / after the prompt, and then start typing the name of the opportunity or lead. For example, Typing Summarize Opportunity / 5 Café Lite would autofill the Café lite Espresso machines opportunity and provide a summary of that record.

Show the latest news about an account

Another way that Copilot can assist sellers is by providing the latest news that features or mentions your accounts. These news articles can be great conversation starters and help you understand the dynamics in your customers' organizations.

In the Copilot side pane, select Get info > Get latest news for account, and select Enter. Based on where you are at in the application, Copilot will do one of the following:

  • If you have a record open, Copilot lists the news articles related to that account.

  • If you're in the grid view, Copilot lists news articles for the top 10 accounts you work with, sorted by the revenue associated with them.

To get the news articles for a specific account, type / and then start typing the name of the account.

What's new with my sales records

One of the biggest ways that sellers can be more prepared is by understanding what is going on with their sales records. By selecting Ask questions > What's new with my sales records? Copilot will search through your lead, opportunity, and account records and provide you with the latest updates about them.

Copilot will fetch the list based on the following conditions:

  • It will only include records that were updated in the last seven days.

  • For lead and opportunity records, they must be owned by you. For account records, it will include records that are owned by you or your team.

  • It will only consider the fields that are configured by your administrator. If you've updated fields other than the configured fields, those records aren't listed in the response.

  • It will only provide the five most recently updated records per record type.

You can hover over a record in the list and select Get updates to view all changes to the record in the last seven days.

What's newly assigned to me

When a seller is assigned a new lead, it's important to make sure you're engaging with them as soon as possible. The sooner you engage with them, the quicker you can qualify or disqualify them. Often, a seller might be assigned multiple leads at one time, and the organization might not always have automated notifications configured for sellers.

With Copilot you stay on top of your pipeline by having it provide you with a list of Leads that were recently assigned to you. In the Copilot side pane, select Ask questions > What's newly assigned to me. Copilot displays a list of all leads that are assigned to you in the last 15 days.

Prepare for upcoming sales appointments

If you have meetings scheduled on your calendar in the next 24 hours, Copilot can help you prepare for them. Go into your meetings with a helpful summary of notes from the last three months and the most recent email thread on the timeline of the related record.

In the Copilot side pane, select Stay ahead > Prepare for sales appointments. Based on where you are in the application, Copilot will do the following:

  • If you have a record open, Copilot lists sales appointments in the next 24 hours that are related to that record.

  • If you're in the grid view, Copilot lists all your sales appointments in the next 24 hours.

    • From the list of sales appointments, hover over the meeting that you'd like to prepare for and select Prepare.

    • If you only have one meeting coming up in the next 24 hours, it's summarized automatically.

Show emails you haven't replied to

Not returning emails to customers can have lasting effects. The customer might see it as a sign that they aren't important and could potentially do business elsewhere. Copilot can help make sure that you don't miss important emails by reminding you of any that you haven't replied to.

In the Copilot side pane, select Stay ahead > Show emails that need follow up.

  • If you have a record open, Copilot lists unanswered emails that are related to that record.

  • If you're in the grid view, Copilot lists all your unanswered emails.

For an email to be included in the list, it must meet the following criteria:

  • They've been in your mailbox, unanswered, for the past three to seven days. Email that's been unanswered for longer than seven days falls off the list.

  • They contain a buying intent, a question, a query, or an action item.

  • They have the Regarding field as a lead or an opportunity.
